AI in Workforce Management in Hospitality: Rostering
3:33

Creating rosters in hospitality often takes hours that managers could spend leading their teams and supporting guests. Managers need to balance coverage, costs, and compliance - often with last-minute changes thrown into the mix. A single roster can take substantial time to finalise, and mistakes can lead to overspending or gaps in service.

This is where artificial intelligence (AI) makes a difference. With AI Rostering, Alkimii People users can generate draft rosters in seconds, not hours. By analysing historical data and business patterns, AI creates a fairer, smarter starting point for managers, freeing them to focus on fine-tuning instead of starting from scratch.

AI Use Case for Workforce Scheduling

AI is bringing speed, clarity, and data-driven decision making to scheduling, helping managers build rosters that reflect both operational needs and employee availability.

Here’s how it changes the game:

  • Faster planning: Generate a complete draft roster in just a few clicks.
  • Smarter scheduling: Choose from three AI options — Best Pay %, Most Efficient, or Same as Last Year.
  • Fairer outcomes: Draft rosters take into account past patterns and priorities, reducing errors and guesswork.
  • Manager control: Drafts are never published automatically — you always review, edit, and approve before sharing.

AI Roster: Now in Beta

With AI Roster, creating schedules is simple:

  • Open Rostering in Alkimii People and select the department you want to schedule.
  • Click on the AI wand icon in the top right corner.
  • Choose the period (weekly, fortnightly, monthly) and select one of three smart AI options:

1. Best Pay % – for cost-efficient scheduling.

2. Most Efficient – for productivity and coverage.

3. Same as Last Year – for smarter proven schedules.

Alkimii generates a draft roster that you can review, adjust, and save before publishing.

⚠️ Please note: You will need a minimum amount of historical data in the system for AI Roster to generate schedules. New departments may not be able to use this tool until enough data is available.

What This Looks Like in Practice

Imagine a hotel preparing for a busy summer week:

  • A manager needs to create a fortnightly roster quickly.
  • Instead of starting with a blank page, they select Best Pay %.
  • Alkimii’s AI analyses past schedules, labour costs, and coverage needs to generate a draft.
  • The manager reviews the shifts, makes a few adjustments, and saves the roster.

The result: a fair, accurate schedule created in minutes, with full visibility of costs and coverage.

Things to Keep in Mind

  • Draft rosters always show standard orange and red shift warnings to flag issues before publishing.
  • If some shifts can’t be assigned automatically, they appear at the top of the roster for manual allocation.
  • You can delete individual shifts, bulk delete, or use Clear Unsaved Shifts to reset before saving.
  • Once shifts are saved, they must be manually bulk deleted to start over — so always review carefully before confirming.

💡 Top Tip: Use the Scheduling Dashboard to compare your planned hours against labour costs and demand forecasts, keeping your roster both fair and cost-efficient.
